A blank sheet of paper is filled with opportunity. They give you the opportunity to express feelings, thoughts, or ideas. Fill a blank sheet with information and they become shopping lists, invitations, maps or contracts. The possibilities are endless.
Think of a whiteboard as a blank sheet to put your company’s goals and objectives, the current state of its infrastructure, and the number of applications, data sources, workflow and processes it has and the possibilities of improvement may begin to seem endless. And though the goal is not to overwhelm with possibilities, a Whiteboard Session does help identify valuable opportunities.
A strategic Whiteboard Session identifies the layers of an organization to create a snap-shot of the current state of the systems and processes. Using the information uncovered, Pinnacle’s ERP Specialists uncover areas of improvement in Business Strategy, Application, and Infrastructure/IT. Based on specified organizational goals and objectives, our specialists work with business leaders to develop a plan that aligns strategy with systems, mitigates risk, and enhances productivity.
A Technology Roadmap is the result of collaboration between the business leaders of an organization and an ERP Specialist through a series of strategic Whiteboard Sessions. Depending on the scope of the roadmap, the established projects can take anywhere from 90-days to 3-years for implementation. Once an agreed timeframe has been established, the project is documented tracking and management.
Building a Technology Roadmap
During a Whiteboard Session, specialists will uncover many areas for process improvement. Commonly, silos of data are discovered. Data silos are typically created by manual data entry or importing information from multiple data-sets. Reconciling this information in reports is nearly impossible as the data-sets for the two reports and/or the search criteria may be different.
Whiteboard Sessions frequently reveal the need for infrastructure improvement. For instance, when considering hosted or cloud applications, the infrastructure must be configured to support the user base and the hosted application. By implementing a Technology Roadmap, we help clients budget for the changes needed to allow for infrastructure improvement projects such as cloud adoption.
These sessions also identify data sources for ERP, Sales/CRM, Data Management, Data Imaging and Line-of-Business applications; and look for current or missing integration points, overlaps of data, and duplicate data-entry processes. Using this information, we help clients create an integrated system that automates information-sharing and document management processes throughout the organization resulting in streamlined data sources, reduced manual data entry, and significantly lowered costs.
Once data sources have been aligned with technology infrastructure, Key Performance Indicators (KPIs) and Business Intelligence (BI) real-time dashboard metrics are available to clients. Where previous information was individually and manually gathered and stored in Excel and/or Access, it is now stored in SQL databases accessible by all the users (with appropriate security clearance) for data-mining to provide the information necessary to make strategic business decisions.
Aligning Business Strategy with Technology
Think of three key pieces of information that you wish you had each morning that would make the decision-making process easier. For each of the roles below, we were able to provide the following information to allow for more informed decisions:
- Sales Manager: Total Pipeline per Rep / MTD & YTD Deals Closed / Activity Tracking
- Warehouse Manager: Inventory on Hand / Number of Back Orders / Efficiency of Order Picking
- Production Supervisor: % of Scrap / Number of Lines Operational & Issues / Efficiency of Lines
- CFO/CEO: % Sales to YTD Goals / Safety Statistics / % Scrap to Revenue
In order to gain valuable Business Intelligence; the systems, applications, processes, data sources and infrastructure must be in sync. Through the Whiteboard process, Pinnacle identifies, advises and assists clients in achieving their organizational goals and objectives by aligning their business strategy with technology.
